Development Manager

The Development Manager provides leadership and management for the COMPAS institutional giving program, support for the COMPAS individual giving program, and leadership over the development database. 

Institutional giving leadership includes cultivating and soliciting corporations, foundations, and government entities (city, county, state, and federal) to maximize project, program, and/or general operating support. The Manager is responsible for driving the strategy for comprehensive, evolving program and project funding and for creating effective letters of inquiry and proposals. The Manager will partner with the executive director and program staff to accelerate the strategic direction of COMPAS programs and conduct their own work, using research and data to analyze and develop proposals. They will further COMPAS’ profile by creating achievable program proposals that are also creative and innovative, with the goal of expanding COMPAS’ reach. They are also responsible for ensuring accurate, complete, and compelling grant reports are submitted on time.

Individual giving support includes managing and maintaining the donor database, creating status reports, and overseeing donor acknowledgements and new-donor welcome strategies. The Manager will also partner with the Executive Director and the board development (fundraising) committee to enhance individual stewardship efforts that advance COMPAS’ mission. They also provide leadership of the development database and data security. The Manager is supported by the arts program coordinator and volunteers.

The Development Manager reports directly to the Executive Director, and collaborates with the program and finance team, occasionally teaching artists and site partners, and the marketing and communications director to achieve goals. 

Salary: $65,000 – $70,000 per year

Key Area 1: Oversees Corporate, Foundation, and Government Prospects, Donors, and Results

  • Identifies and strategizes current and emerging funding opportunities. Researches, prioritizes, and solicits appropriate Institutional prospects

  • Leads or delegates the role as a COMPAS liaison to corporate/foundation staff, leading to gifts and grants, understanding nuances that will increase the probability of receiving funding

  • Oversees/partners on an aspirational budget and funding model for each program/project

  • Oversees customized solicitations based on the focus areas of the prospect/donor, actively seeking out input from program and other staff

  • Directs and coordinates with the Program team, Executive Director, and finance team to receive timely input needed for creating effective letters of inquiry and proposals

  • Uses data and a database to segment institutional donors and customize solicitations and stewardship

  • Develops, implements, and manages processes, protocols, and systems for seeking, securing, fulfilling, and stewarding corporate sponsorships

  • Creates a culture of impact and storytelling by creating, using, monitoring and educating staff on the value of stories and site feedback

  • Partners with the Program team to demonstrate community impact and strengthens case by using data from programs, including artists, educators, adult, and youth evaluations

  • Oversees grant fulfillment process, being a resource for the Program team to ensure deadlines, budget, and service requirements are met

  • Oversees processes with partner organizations to successfully secure grant funding

  • Oversees an effective donor stewardship program. Ensures industry-standard/timely acknowledgements to donors

  • Oversees corporate matching gifts program  

  • Provides counsel, base-level training, and direction to COMPAS leadership, including board members, that results in increasing institutional donors’ probability of increasing their philanthropy

  • Coordinates with the program team on determining evaluation needs, goals and reporting outcomes. Uses data to solidify the COMPAS program rationale for donors

Key Area 2: Oversees Development Database Management and Reporting

  • Leads donor database use to track all philanthropic activity, create and update status reports, track deadlines, update contacts, and biographical information

  • Creates and updates database security and database operating procedures, continuously improving and streamlining processes

  • Provides relevant statistical information. Bases activities on data and selects appropriate tactics accordingly

  • Runs reports, merges data to create appeals, coordinating vendors if used

  • Oversees industry-standard/timely acknowledgements to donors and new donor welcome strategies

  • Coordinates with the finance team to reconcile monthly activity

  • Oversees institutional goal completion and reports key metrics to staff and volunteer leadership

  • Oversees accurate and timely statistical information for program and department reporting

Key Area 3: Supports Individual Giving Activities

  • Develops, implements, and partners on marketing and communications efforts with COMPAS staff, board members, and corporate and/or foundation staff to drive individual giving results

  • Works in concert with marketing/events staff and board committees to ensure they are effectively functioning 

  • Participates and leads activities relating to COMPAS fundraising or program events, meetings, or gatherings that achieve goals

Key Area 4: Administrative & Planning Responsibilities – Building Interconnected Plans

  • Contributes to and fosters positive relationships with volunteers and donors. Builds capacity by stewarding and growing board members, volunteers, interns, and staff involvement

  • Actively contributes to and supports, COMPAS’ board member development (fundraising) committee

  • Provides expertise and guidance, and executes decisions effectively, efficiently, and in a timely manner

  • Recommends hires, supervises, and evaluates development staff, including interns and volunteers

  • Contributes to and manages a fiscally-responsible department budget

  • Other programs or duties as assigned, e.g., representing COMPAS in the community

Background

  • Bachelor’s degree with a minimum of 4 years of combined development, communications, marketing, or similar experience with demonstrated fundraising success and a minimum of 18 months in one position

  • Demonstrated experience in the arts or youth organizations is highly desirable

  • Mastery of institutional (including corporate, foundations and government) and/or individual philanthropy is preferred as is the knowledge of prospective and current donors to the arts, humanities and other cultural organizations

Knowledge, Skills, and Abilities

  • Demonstrated mastery of written and persuasive communication with the ability to translate complex ideas into understandable and compelling arguments 

  • Ability to multitask and prioritize responsibilities, achieving program and revenue goals by synthesizing information and creating and implementing both aspirational and practical plans

  • Outstanding problem-solving skills, persistence, and a can-do attitude required. Must be a positive, friendly, and kind individual with exceptional interpersonal, teamwork, and verbal communication skills. Must excel at a servant-leadership management style

  • Ability to think creatively, look at processes and systems, and make incremental improvements

  • Ability to be self-led and work independently and collaboratively within teams, with natural curiosity and drive to make outcomes better for the program, COMPAS, and the people we are here to serve  

  • Familiarity with local and regional funding sources preferred

  • Data analysis and report writing skills required

  • Successful experience stewarding, developing, and growing an organization’s corporate and foundation relations program is required, including an understanding of the nuances of institutional giving strategies and tactics 

  • Proven experience representing an organization to various external stakeholders is required

  • Ability to work effectively with and recruit staff, interns, and volunteers and to secure community support for ideas and projects

  • Knowledge and use of technology, including MS Office programs:  Outlook, Word, Excel, SharePoint, Lists, PowerPoint, Planner, etc. 

  • Must have access to transportation with the ability to travel to events, sites and meetings

  • Donor database and CRM database proficiency preferred. Bloomerang and/or Salesforce skills are a plus

  • This job operates in a virtual, home office, a professional COMPAS main office environment, and/or occasional event or community sites (occasionally these can be outdoors).

  • There can be occasional local, statewide, or national travel associated with this role.

  • This role routinely uses standard office equipment, including a laptop computer, printer, and phone.

  • The employee is generally required to spend long periods on the phone, sitting, typing, and working at a computer, and a variable stand-up desk is provided when in the main office.

  • May require the ability to occasionally lift and carry 10 – 25 lbs., including purchasing and/or transporting items (e.g., supplies, computers, tents, signboards, totes) to and from sites and locations and setting up/taking down event materials.  

  • COMPAS’ regular office hours are 8:30 AM to 5:00 PM Monday-Friday.  This is an exempt position that may occasionally require early morning and evening hours, and occasional weekend hours, especially for meetings, events, and proposal deadlines.       

Other

Finance Manager

The COMPAS Finance Manager is responsible for implementing all accounting activities, striving to be audit-ready monthly.  They reconcile and prepare financial information to produce accurate financial reports.  They ensure that budgeting and spending align with the strategic and annual plans and remain true to funder restrictions. They are also responsible for supporting development and program managers with budgeting, reporting, and financial storytelling, and key administrative functions as needed.  This is a growth and development role under the Controller’s oversight and support, with the goal of becoming the COMPAS senior leader/Finance Director in 18-24 months. Therefore, the Finance Manager will take on increasing responsibilities, including HR benefits, insurance, cash management, investments, contract management, and board reporting and presenting, as their tenure progresses.

The Finance Manager works in partnership with and reports directly to the Controller, and, if outsourced, also the Executive Director, enhancing order, stability, and integration across finance, program, marketing, and fund development, and improving processes and COMPAS efficiencies and mission delivery.   

Salary: $65,000 – $70,000 per year.

Key Area: Financial Operations

Responsible for all day-to-day finance operations, including functional responsibility for accounting, accounts payable, cash management, and accounts receivable. Ensures strong finance systems and procedures are in place to support effective program implementation and unqualified financial audits.

Duties and Responsibilities

  1. Day-to-Day Finance Management
  • Manages all accounts, ledgers, and reporting systems, ensuring compliance with appropriate GAAP standards and regulatory requirements

  • Creates all accounting activity – contributions, payments, invoices, etc. Reconciles Salesforce, Bloomerang, and Divvy, with QBO entries monthly, quarterly and annually.  Oversees deposits

  • Assists with the audit, with the goal of an on-time and accurate audited financial statement and 990 tax documents

  • Collaborate with the Executive Director to assess the financial efficacy of program operations, establish finance and administrative systems, and document processes

  • Suggests and maintains internal controls; monitors financial policies and creates draft budget reports that use comparisons to expenditures, while forecasting financial scenarios

  • Assists with annual budgeting and planning process; reviews financial plans and compares them to actual results to identify, explain, and correct variances as appropriate

  • Supports the Controller and Executive Director in engaging the board’s finance committee around issues and trends in understanding COMPAS finances, financial operating models, and program delivery

  • Creates a cash management system for events that meet the development department’s needs and COMPAS audit requirements

  • Create dashboards, graphs, and other reporting that decreases the complexity of reporting for the board and staff and ensures greater engagement and understanding

2. Program, Fund Development, and Marketing Department Support

  • Creates all financial, project/program, and grant budgets and financial reports, ensuring that expenditures are consistently aligned with grant and program budgets throughout the grant/fund period

  • Collates financial reporting materials for government, corporate, and foundation grants

  • Gathers grant report elements, partners on the submission with fund development and program staff

  • Partner and assist program and marketing staff with gathering statistics, financial information, and outcome data for grant and marketing reporting. The goal is to develop clear financial narratives to increase stakeholders’ understanding and engagement

Key Area: Administration and Public Relations

Responsible for oversight and management of daily operations, and positive customer and community relationship building.

Duties & Responsibilities

  • Secures cost-effective contracts for office equipment and IT consulting that maximize service requirements and budget constraints

  • Spearhead IT management: inventory equipment, lead cybersecurity training and protections, troubleshoot problems, set up new equipment, point person for cloud-based phone system, etc. 

  • Maintain equipment (printers, phones, and copy machine)

  • Office efficiency, and act as liaison to building maintenance or landlord. Point person for staff

  • Spearhead administrative projects that range in scope from moves to reorganization, document retention, etc. that reduce risk and increase efficiency

  • Buy materials, equipment, supplies, etc. Back up other staff administrative functions

  • Represent COMPAS in the community; partner on funder meetings (when available)

  • Supervises clerical/hourly administrative personnel and volunteers as needed  

Key Area: Special Projects

Creates efficiencies for COMPAS by initiating and completing special projects that enhance business, program, and operations

Experience

Bachelor’s degree required with an additional 1-2 years of accounting and finance experience, preferably in the non-profit or public sector.   

Must have experience using small business accounting software and the ability to work successfully in a hybrid environment while performing duties efficiently and accurately.

Must have a demonstrated ability to be a self-directed, conscientious problem-solver who works independently with natural curiosity and desire to improve outcomes and systems continuously: data analysis and report writing/tabulation skills required.

Understanding of and commitment to the importance of creativity and arts access in our community preferred.  Must have excellent oral and written communication skills, a positive attitude, flexibility, and a professional demeanor. Outstanding problem-solving skills and a can-do, “jack of all trades” attitude required.

Ability to work effectively, respectfully, and cooperatively with a wide variety of people to achieve goals.

Keen analytical, organizational, and problem-solving skills, which allow for strategic data interpretation versus simple reporting preferred.   

Ability and desire to translate complex financial concepts to individuals, including finance and non-finance constituents. 

Ability needed to analyze and negotiate cost-effective contracts and services. Ability to multitask and prioritize responsibilities, meeting deadlines for other department staff goals.

Proficiency in Microsoft Office programs is required, specifically Outlook, Word, Excel, SharePoint, and PowerPoint.  Skills in Salesforce or other CRM databases preferred.
